Intake Coordinator Appointment

Before your initial session with a therapist, you will meet with one of our Intake Coordinators. During this hour-long meeting, you’ll be asked what motivates you to begin counseling, as well as to review the therapeutic process and tools we use to support your healing journey. In addition, the Intake Coordinator will answer any Client Portal questions you have + work with you to complete all intake documentation necessary to connect you with a therapist. Before meeting with our Intake Coordinator, you’ll receive access to your secure Client Portal, via Simple Practice, to review and e-sign our practice policies and consent forms, and complete your new client, intake forms. Please complete these forms before your appointment with your Intake Coordinator.

Client Prioritization

We prioritize our clients by holding space for each person we see. When clients cancel an appointment, our clinicians offer that space to other clients who need an appointment that week. When clients cancel with fewer than 24-hour notice or do not show for their appointment, other clients miss out on an opportunity to be seen.

Cancellation Policy

If you need to cancel an appointment, please email support@nashvilleccc.com or cancel the session through your client portal with at least 24-hour notice. Anyone canceling an appointment with less than a 24-hour notice will be charged a late-cancellation fee of $125.00. If you do not show to your session (no-show) then you will be responsible for a no-show fee of $125.00. Insurance does not cover no-shows or late cancellations, so it is the client’s responsibility to pay when this occurs. We will charge the credit card on file for no-shows and cancellations with less than a 24-hour notice of the scheduled session.

Insurance + Benefits

After we receive your insurance information and you’ve been matched with a therapist, we will process your benefits and provide you with a Good Faith Estimate and what to expect to pay out of pocket. Anytime you have any questions regarding billing, processing payments, or insurance/benefits, you can contact BILLING directly at billing@nashvilleccc.com.

We currently are in network with the following insurance companies: BCBS, Aetna, Cigna, and Optum.

Optional Mental Health Assessment App (BLUEPRINT)

We invite you to use a Mental Health Assessment App called BluePrint. This app allows your clinician to have a better sense of how you’re doing in between sessions, as well as enables both you and your therapist the ability to track therapeutic progress over time. The BluePrint app can be downloaded on your smart phone for free. BluePrint uses simple, secure assessments easily available at the touch of a screen, as well as provides you automated reminders to input information prior to your next session.
